What is an event QR code?

An event QR code encodes a calendar entry — title, start and end times, location, and description — into a scannable image. When someone scans it, their phone offers to add the event to their calendar, so they never miss it or get the time wrong.

It uses the standard iCalendar (VCALENDAR/VEVENT) format, which iOS, Android, Google Calendar, and Outlook all understand. Times are taken from your local input and converted to a universal format, so the event shows up correctly no matter where the attendee is.

When to use it

Invitations

Print the code on wedding, party, or meeting invites so guests add the event in one tap.

Conferences

Let attendees scan to drop a session or the whole event into their calendar.

Reminders

Add the code to a flyer or poster so people save the date instantly.

Classes and appointments

Give students or clients a scannable way to lock in a session time.

Printing and scanning tips

  • Double-check the start and end times before generating — they are baked into the code.
  • Keep the description concise; long text makes a denser, harder-to-scan code.
  • Test by scanning into your own calendar to confirm the time and details appear correctly.
  • Print at least 2 × 2 cm with a white quiet zone around the code.
  • For all-day or multi-timezone events, note the timezone in the description to avoid confusion.

Frequently asked questions

What calendar format does it use?

It uses iCalendar (VCALENDAR/VEVENT), the standard format that iOS, Android, Google Calendar, and Outlook all import.

How are timezones handled?

You enter times in your local timezone and the tool converts them to a universal (UTC) format, so the event appears at the correct local time on each attendee's device.

Can I add a location and description?

Yes. Both are optional fields you can fill in to give attendees full details.

Does the event update if details change?

No. A static event code is fixed once downloaded. If the time or place changes, generate and share a new code.

Will it work on iPhone and Android?

Yes. Both platforms read the iCalendar format and offer to add the event to the default calendar.

Does the code expire?

No. The code keeps offering to add the event forever, though the event date itself is fixed.
